Welcome to Hibernation Hollow Cabins, owned and operated by Double D Property Investments LLC. Thanks for being our guest. We strive to provide a clean, safe and enjoyable environment while keeping our pricing affordable. We are the owners of these cabins and we ask that you treat them with care. We ask that you respect your neighbors and maintain noise levels to acceptable limits. Please read these policies prior to your arrival.
Guest Privacy Policy: We respect and are committed to protecting your privacy. Registered guest who may have other guest staying or visiting them are responsible for providing driving directions and entry codes. Hibernation Hollow Cabins will not provide this information to anyone other than the person/persons listed on the reservation. We will also not confirm the names of registered guest to anyone other than the person who is listed on the reservation.

Forms of Payment: Forms of payment accepted are Paypal, Venmo, Zelle or Cash App. In addition we accept credit cards. Visa, MasterCard, American Express and Discover.
Payment/Deposit: A refundable deposit of $150 will be charged for reservations made direct with us. This deposit will be refunded within 48 hours of your departure with no damage reported by you or our cleaners.

Minimum Stays: A 2-night minimum stay is required on reservations. A 3-night stay is required for Holidays, Spring Break, & Fall Breaks.

Cabin Cleaning Fee, Cleanliness and Damages: We do not charge any additional cleaning fees unless the cabin is left in a very dirty condition where excessive dirt or other foreign or body substances are left anywhere in the cabin, requiring excessive cleaning and sanitation, your account may be billed up to $500 for cleaning fees.

Missing Items/Damages: Missing items or damages to items belonging to the property will be charged to your credit card or payment method. These charges will include labor and replacement costs. Please do not allow children to get on top of hot tub or Spa covers as they will break. Replacement cost of hot tub covers is $400.00.
Check In/Out: Check-in is a self-check in procedure. There is no centralized check in office. The door access codes will be set to the last 4 numbers of your cell phone number. Check-in is 4:00 PM or later on the day of arrival. Check out is 10:00 AM. Checking out after 10:00 AM may be subject to additional charges. Entry to the cabin is not permitted until cleaning staff has finished and left the property. To provide clean and comfortable accommodations these times must remain firm so that our staff can clean, maintain and restock the properties. When checking out, please clean dishes. Please do not move furniture. Replacing furniture back to original location may result in additional charges.

Overcrowding Cabins: The maximum occupancy is based on the total number of people stay at the property including adults & children. Overcrowding the cabins or having more guests than detailed in the original reservation will result in extra charges.

Firewood & Campfires: Firewood can be ordered by texting our property manager Chelsea Massingill at 580-306-3915 prior to your arrival. Refunds cannot be given for unused firewood. 48 Hours notice needed for all firewood orders.

Fire Safety Rules: Campfires are a basic part of camping and we want you to enjoy your own campfires. Please follow all safety practices in building a campfire. Please note that it is against the law to leave campfires unattended. During times of high fire danger, we will notify guests, by signage inside of cabin, when outside fire bans are imposed by the State of Oklahoma. When you leave the campfire, make certain that it is completely out. Pour plenty of water on it to make sure the coals are cold. The renter or renters shall be held liable or responsible for any damages or injuries resulting from violating these fire safety rules.

Hot Tubs: All hot tubs are drained and cleaned after each guest visit. Once hot tubs have been filled, it will take 3 to 4 hours to fully heat the water. To keep check-ins as early as possible your hot tub water may not be at desired temperature upon your arrival. Do not allow children to get on top of hot tub or Spa covers as they will break. Replacement cost of hot tub covers is $400.00.
Always keep the hot tub covered when not in use. This will conserve energy and, more importantly, prevent animals and young children from falling/climbing in. It will also help prevent dirt and debris from getting in. Always drain any standing water from the cover.
If your hair is long, put it up in a ponytail or bun to avoid getting it caught in the filter or drain.
Make sure the hot tub is at the appropriate temperature, taking into consideration the people who will be using it. Children should never be in a hot tub if the water is warmer than bath water (about 90 degrees). For adults, maintain the water temperature below 104
degrees.Avoid drinking alcohol or using drugs in the hot tub. The hot water will amplify and speed the effects of any alcohol or drugs. Alcohol makes you drowsy, and falling asleep in hot water can be very dangerous. In addition to the risk of drowning, your body cannot regulate its
temperature as well when you are asleep, which can lead to dangerous overheating.Similarly, avoid using the hot tub when overly tired, or at least have a more alert person join you to wake you up.
Never use electrical devices (including phones, radios, TVs or any other corded device) in or near the hot tub. If you must have one nearby, use a battery-powered device and place it on a table a safe distance from the water. Be sure all electrical outlets are a safe distance from the hot tub as well, in keeping with local building codes. Corded devices and outlets present a real risk of electrocution if they get wet!
Always shower with soap and water before and after using a hot tub. Showering before will prevent lotions and skin oils from gunking up the filter and prevent bacteria from entering the pool, and showering after will help remove any chemicals or bacteria that linger on your
skin, preventing rashes and infection.Please NO FOOD or PETS in the hot tub.
Be cautious when using the hot tub during the winter. If the temperature outside the hot tub is below freezing, water splashed over the edge can quickly freeze into slippery ice.
Don’t wear contact lenses in the hot tub because of the small chance of contamination.
Warnings
It is best to never allow children under the age of 12 to use a hot tub, due to the many risks including drowning, bacterial infection, and brain damage caused by the high temperatures. Never leave children unattended in or near a hot tub, and always consult a doctor before
allowing your children in a hot tub.Pregnant women should avoid submerging their stomachs in a hot tub, as the temperature is far too hot for the fetus. Instead, soak only the feet and legs, or check with your doctor.
If you have heart disease, high blood pressure, or diabetes you should check with your doctor before using a hot tub.
As with swimming pools, immediately exit and seek shelter if you see lightning, or during any other kind of threatening weather.
Playgrounds: Some cabins are equipped with children play sets. It is the responsibility of the parents to declare the play set is age appropriate and safe for your child. Hibernation Hollow Cabins is not responsible for injuries or accidents caused while playing on the playground.
Cancellations: Cancellations and date changes made WITHIN 7 days before your arrival will be charged the full reservation fee if we are unable to re-book the property. Cancellations or date changes must be confirmed by the property management company. Cancellations made outside of 7 days (before arrival) will be charged the equivalent rate of one day cabin rental.
Messages left on answering machines or voice mails are not accepted forms of cancellation. We are not able to give refunds due to inclement weather and/or early departure. We will refund or re-book your reservation if the National Weather Service or State Weather Services issues advisories of road closures in the immediate area of the rental property.

Trip Insurance: Trip insurance can be purchased at http://www.insuremytrip.com This is provided by a 3rd party and available as a convenience. You can purchase trip insurance from other vendors as well.
Pets: Dogs are allowed in all of our properties for a $50 fee per stay. Any excessive damage caused by pets will be the responsibility of the pet owner and could result in a charge to your credit card for additional cleaning fees plus any damages to the cabin. Please do not allow pets in Hot Tubs.

Missing Items/Damages or Items Left Behind: Missing items or damages to items belonging to the property will be billed or charged to your credit card or another form of payment. If personal items are left behind we will contact the customer to see if the customer wants will be mailed to customer with a minimum fee of $30.00 to cover shipping and handling charges.

Fireworks and Loud Noises: Shooting of fireworks are not permitted on properties. Loud noises such as shooting of guns and playing loud music outside are not permitted on the properties. Violation of these policies may subject property guest to immediate eviction from property without refund of reservation fees.

Smoking: Smoking is not allowed inside of living areas of properties. Failure to comply will result in up to a $500 charge to your credit card or another form of payment plus any damages to the cabin. You may smoke on covered and uncovered decks. Please do not leave butts on the grounds.

Trash: Please secure trash that is placed outside in the barrels provided with the lid on them. There are critters in the area that will scatter your trash. Please do not clean fish on property.

Wildlife Encounters: Due to the location of our cabins in forested areas, there is a chance guests will encounter some type of wildlife, insects or stray animals. Each property is professionally treated on a scheduled basis for interior pests, but due to the natural habitation of the forest, no refunds or compensation will be given for any problems resulting from pests inside or outside the cabin. Do not feed animals you may see around the cabin nor permit them to enter the cabin. Do not allow children to play with, pet or feed stray animals. We are not responsible for any wildlife or animal encounters of any kind. Hibernation Hollow Cabins is not responsible for medical bills resulting from injuries resulting from encounters with wildlife or stray animals.

Damages to Property and Trees: Please do not chop, shoot or cause any damage to the standing trees or other standing vegetation on the land/property. If we find damages to the trees, you may be charged up to $500.
​
Liability: All activities involve certain inherent risk of injury up to and including death. Every effort will be made to secure and make safe all facilities under our management. It is expressly understood and agreed that neither the owner, Hibernation Hollow Cabins (Double D Property Investments LLC) shall be liable for any damages or injury to guest, guest’s guests or their families, or to any of owners property from whatever cause arising from the occupancy or use of the premises by guests and their family and guests.
